Outlook 2021 Steps
Open Outlook and Navigate to Add Account: Launch Outlook and go to "File" > "Add Account".
Enter Your Gmail Address: Enter your Gmail address and select "Connect".
Follow the Gmail Sign-in Window: Outlook will launch the Gmail sign-in window, confirm the email, and select "Next".
Add Your Password: Enter your Gmail password and follow the prompts.
Grant Permissions: On the Google account permissions window, select "Allow".
Complete the Setup: Once Outlook finishes adding your Gmail account, you can add another email account or select "Done".
Restart Outlook: Restart Outlook to ensure the changes are fully applied.
Find Your Gmail Emails: Look for your Gmail emails in the folder pane.
App Passwords: If you have two-factor authentication enabled on your Google account, you'll need to generate an App Password instead of using your regular Gmail password when connecting to your email client.
Security: Ensure your email client is configured to use secure connections (SSL/TLS) for both incoming and outgoing mail.
Enable IMAP/POP: Before setting up your email client, make sure you've enabled IMAP access in your Gmail settings (Settings > Forwarding and POP/IMAP).
POP vs. IMAP: POP (Post Office Protocol) is an older protocol that downloads emails to your device and doesn't keep them on the server. IMAP (Internet Message Access Protocol) keeps emails on the server and allows you to access them from multiple devices.
